Job Title: Accounts Payable & Administration

Reporting to Owner, The bookkeeper position creates financial transactions and creates financial reports from that information. The creation of financial transactions includes posting information to Quickbooks accounting software from such source documents as invoices to customers, cash receipts, and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy.

Qualifications:

·   Demonstrated ability to understand practical accounting principles.

·   Strong proficiency in the Quickbooks accounting software and MS Office suite applications with high level skill in MS Excel

·   Demonstrated analytical skills with respect to quickbooks accounting software

·   Effective communication skills with the ability to liaise with all levels of the team

·   Positive “can do” attitude and commitment to team success

·   Comfortable working in a fast paced environment.

·   Experience in retail accounting would be an asset.

Tasks include:

·   Tag and monitor fixed assets

·   Pay supplier invoices in a timely manner, accounts payable for three separate entities. Verify invoices have been approved by department manager before payment.

·   Take all reasonable discounts on supplier invoices

·   Issue invoices to customers

·   Collect sales taxes from customers and remit them to the government on time.

·   Ensure that receivables are collected promptly, accounts receivable for three separate entities.

·   Record cash receipts and make bank deposits

·   Conduct monthly reconciliation of bank accounts, credit cards.

·   Conduct periodic reconciliations of all accounts to ensure their accuracy

·   Maintain the petty cash fund

·   Issue financial statements

·   Provide information to the external accountant who creates the company’s financial statements

·   Calculate and issue financial analysis of the financial statements

·   Maintain an orderly accounting filing system

·   Maintain the chart of accounts, Verify proper account coding in quickbooks.

·   Calculate variances from the budget and report significant issues to management

·   Process payroll in a timely manner, time card entry.

·   Provide clerical and administrative support to management as requested, Maintain and update various spreadsheets for tracking costs as required.

·   Demonstrate proper operation of the telephone, fax machines, copiers and computers.

·   Retrieve and file documentation as requested by supervisor. May be requested to complete simple research assignments and data entry

·   Assist co-workers in maintaining office operations with special projects upon request.
